VINCE Media Ltd — Health and Safety Policy for Filming

Our Commitment

VINCE Media Ltd is committed to ensuring a safe working environment for all staff, freelancers, contributors, and members of the public involved in our productions. We take our responsibilities under UK health and safety law seriously and embed risk management into every stage of the filming process.

General Principles

  • A formal Risk Assessment is conducted for every shoot, tailored to the specific activities, environments, and personnel involved.

  • Risk Assessments are designed to identify hazards, implement control measures, and ensure all personnel are briefed and protected.

  • A producer trained in First Aid is present on all shoots. Where necessary—based on the nature, location, or risk profile of the production—a professional medic will also be engaged.

  • For higher-risk productions, we will appoint a qualified Health & Safety advisor to support risk mitigation and compliance.

Risk Assessment Coverage

Each Risk Assessment considers all reasonably foreseeable hazards, including but not limited to:

  • Access and Egress

  • Aircraft, Microlights, Balloons, Parachutes

  • Animals – Wild or Dangerous

  • Asbestos

  • Public Safety and Interaction

  • Hazardous or Toxic Substances (e.g., chemicals, drugs, biological agents)

  • Compressed Gases / Cryogenics

  • Confined Spaces

  • Derelict Buildings or Dangerous Structures

  • Diving Operations

  • Electricity or Gas

  • Visual Effects – Explosions or Pyrotechnics

  • Glass (e.g., breaking, fragile, structural)

  • Fire or Flammable Materials

  • Extreme Heat or Cold

  • Inexperienced, Child, or Disabled Performers

  • Lasers or Other Bright Lights

  • Lifting Appliances or Machinery

  • Manual Lifting or Shifting of Heavy Weights

  • Noise Exposure

  • Physical Exertion (Abnormal Stress)

  • Radiation – Ionising and Non-Ionising

  • Scaffolds / Rostra

  • Speed (e.g., vehicles, stunts)

  • Vehicles

  • Water or Proximity to Water

  • Weapons

  • Weather (Extreme Conditions)

  • Working at Heights

  • Lighting Equipment (Intensity, Heat, Electrical Load)

  • Location Filming (including public risk and permits)

  • Liquids (spills, flammable or toxic)

  • Fire

On-Site Safety Procedures

  • All personnel receive a safety briefing on arrival at each filming location.

  • Emergency procedures, first aid arrangements, and evacuation points are clearly communicated.

  • Crew and contributors are expected to report hazards or unsafe behaviour to the producer immediately.

Third-Party Contractors

  • We work only with trusted suppliers and service providers who meet professional safety standards.

  • All freelancers and third-party crew are expected to comply with VINCE Media Ltd’s safety procedures and the terms of the Risk Assessment.

Responsibilities

  • Producers are accountable for ensuring that each shoot is risk assessed and that safety controls are implemented and maintained on site.

  • All personnel share responsibility for working safely and reporting any concerns.

 

Health and Safety Responsibility

The overall responsibility for health and safety at VINCE Media Ltd rests with:

He is responsible for ensuring that this policy is implemented effectively, that risk assessments are completed for each production, and that all relevant safety measures are in place and maintained.

Review

This policy will be reviewed annually, or sooner in the event of an incident or relevant legislative change, to ensure ongoing effectiveness and compliance.
